What is the master client list?

The master client list is an aggregation of all persons, in all capacities, in your Notary eJournal. This includes signers, document witnesses, signature by mark witnesses, etc. This feature gives you the ability to manage your client's data, reuse clients in future entries, and have better insight into a client's history in your Notary eJournal.

The master client list view provides multiple sorting options, as well as the ability to

  • View/edit a client

  • Delete/archive a client*

  • Search for a client

  • Merge clients

  • Manually add a new client

*A client can only be deleted/archived if they have not been associated with any journal entries. This is due to data tampering laws & best practices with respect to digital journals.

Viewing/editing a client

When viewing a client, you'll see the client's name & general information, any identifications associated with the signer, an audit log of actions pertaining to that client, and a list of any journal entries associated with that client

The following general information can be saved to a client's profile & edited at any time

  • Profile picture

  • Full name fields

  • Client's email address

  • Client's phone number

  • Client's address

  • General notes pertaining to client

A signer can only have 1 of each available type of identification saved to their profile. The available ID types are a driver's license, a passport, a military ID, and a State ID card. A client can not have multiple driver's licenses saved to their profile, for example

Audit log events for a client

Audit log events are created to help you track client activity across your Notary eJournal. Audit log events for a client may include:

  • When a client is created (first used in your journal)

  • When a client's information is updated

  • When a client is deleted/archived

  • When a client is used in a new journal entry

Journal entries for a client

All journal entries associated with a client are accessible when viewing the client's profile. Clicking on an entry will open it for viewing.

Merging clients

The Notary eJournal provides the functionality to merge multiple clients. This is useful for situations where you may have added the same client multiple times across multiple entries as a new signer or a new document witness. There are 2 ways to merge clients;

  • Using the "verify" badge to identify & merge potential duplicates

  • Manually selecting which clients you'd like to merge

When merging clients, you can only save 1 ID of each ID type to the client. In most cases where you have duplicate clients in your journal, they will have the same ID associated with them, which makes this easy. In other cases, you may have multiple ID types - you can only carry 1 of each ID type over through the merging process

Adding an existing client to an entry

When adding a signer or a document witness on step 2, you will be given the option to add an existing client. Selection this option will bring up your master client list, along with sorting & searching options to make it easy to find an existing client.
